Booth Vendors (10x10 Tents)

• 6:00 AM – 7:30 AM: Vendor Check-In & Unloading

  • Pull into the Loading Zone to unload booth materials.

  • Check in with staff immediately after unloading to receive your 2 vendor badges and festival info.

  • Move your vehicle to the Vendor Parking Area before setting up your tent.

• 7:30 AM – 8:00 AM: Tent Setup & Fire Inspection Prep

  • All tents must be fully set up and staked by 8:00 AM.

  • Fire inspectors can begin safety checks at any time beginning at 8:00 AM.

• 8:00 AM – 9:00 AM: Product Load-In & Display Setup

  • Vendors may finish loading in merchandise, displays, and signage.

  • No vehicle access during this time - product load-in is on foot only.

Food Truck Vendors

• 7:00 AM – 8:00 AM: Food Truck Check-In & Parking

  • Enter through the designated Food Vendor Entrance/Loading Zone.

  • Staff will direct you to your assigned spot. Once parked, trucks must remain in place all day.

• 8:00 AM – 9:30 AM: Setup & Health/Safety Prep

  • Time to connect power/generators, set up signage, and prep for service.

  • Health or fire inspectors may check food vendors during this window.

• 10:00 AM: Ready to Serve

  • All food trucks must be fully set up and ready to serve 30 minutes before gates open to attendees.

Reminders for All Vendors

• This is an outdoor event with minimal shade - a 10x10 tent is strongly recommended for booth vendors.

• Vendors must bring their own tents, tables, chairs, and displays. Equipment rentals must be requested ASAP.

• The Loading Zone is for unloading only. Vehicles may not be left unattended and must be moved to parking before setup begins.

• Vendor badges (2 per booth) will be distributed at check-in and must be worn at all times. You can request additional badges if needed.

Vendor Sections

• Westeros (Bright Green) – Booths 1–9 (left side near parking/entry) - This realm is where all food/beverage vendors will be located

• Navarre (Purple) – Booths 10–27 (near Dance Lessons & Archery)

• Velaris (Dark Blue) – Booths 28–47 (below Navarre)

• Emerald City (Dark Green) – Booths 48–68 (central rows)

• Lunathion (Yellow) – Booths 69–90 (below Emerald City)

• Atlantia (Red) – Booths 91–103 (near Lawn Games and Live Music)

• Neverland (Pink) – Booths 104-112 (angled row near Children’s Enchanted Corner & Axe Throwing)

• The Shire (Light Blue) – Booths 113-125 (bottom row near Live Music)

Please Note:
Booth assignments are not based on the type of products or services you sell. We’ll do our best to arrange vendors so that similar vendors are evenly spread throughout the festival grounds. The fantasy-themed row you are placed in is purely for atmosphere and does not reflect your offerings.

• Theme: Fantasy - think castles, dragons, enchanted forests, fairytales, magical markets, and more!

• Judging: Our Enchanted Realms team will decide the winners after the event

• Prizes:
  👑 1st Place – Free booth for next year's festival
  🔮  2nd Place – 50% off booth for next year's festival
  ⚔️  3rd Place – $50 off booth for next year's festival
